Portal¶
Everyone who works on the festival but doesn't use the back-office —
artists, volunteers and venue coordinators — gets in through one place:
the portal at my.festinato.app. There
is no password to set and no account to register. Access is granted
automatically the moment a person is added to the right back-office
record, and the portal shows each person only the pages that apply to
them.
This page covers the three portal roles, what each one can see and do, how sign-in works, and how someone who wears more than one hat moves between roles and festivals.
The three roles¶
The portal has exactly three roles. A single person can hold one, two or all three at the same festival, and different roles across different festivals.

The back-office calls them volunteers; the portal's role switcher labels the section Crew. They are the same role — the people running shifts on the ground.
Journalists get a separate press portal
The three roles above all sign in at my.festinato.app. Press
is handled differently: an accredited journalist gets a private,
link-based press portal instead — there's no role for them in
the email login above. See Press & media.
Signing in¶
The portal uses a magic link — passwordless sign-in by email.
- The person visits
my.festinato.appand types the email address you booked them under. - They receive an email with a single-use link, valid for seven days.
- Clicking the link signs them in and keeps them signed in on that device until they log out.
Because there is no password, there is nothing to reset and nothing to leak. The email address is the identity: whichever festivals and roles that address is attached to are the ones the person sees after signing in.
Use the booking email
Access is matched on the exact email address on the booking, roster or venue contact. If an artist asks why they can't see their festival, check that the address they're signing in with is the one on their record — or add a second address (a manager's, say) to the same record so both can log in.
Getting access¶
Nobody is invited or provisioned by hand. Access follows the data:
- Add an email to an artist booking → that address can sign in and see the artist pages for that festival.
- Add an email to the volunteer roster → the crew pages appear.
- Add an email to a venue's contact list → the venue pages appear.
One email can appear on several records — an artist who also volunteers, or a manager listed against three different acts. Every one of those links shows up under the same login, grouped by festival.
Switching festivals and roles¶
The portal is built for people who come back year after year, or who work more than one event on the platform.
- Festival switcher — the top bar lists every festival the signed-in email has access to, grouped into active, upcoming and past. Pick one to jump straight to it; the choice is remembered for next time.
- Role switcher — when an email holds more than one role at the same festival, a second switcher appears (Artist · Crew · Venue). Selecting a role takes the person to that role's home page without signing out.
If a person has only one role at a festival, no role switcher is shown — they land directly on the pages that apply to them. Navigation is always role-aware: the sidebar only ever lists pages the current role can use.
From the mobile app¶
The portal is also reachable from inside the white-label mobile app — the same app festival-goers use for the timetable and line-up. Tucked in the More menu is an Artist / Crew Login entry; tapping it opens the in-app sign-in.
- The artist, crew member or venue coordinator enters the email they're booked under and taps Send sign-in link.
- The magic-link email arrives as usual — but tapping it on the phone opens the app, not the browser, and drops them straight into the portal inside the app. The session stays signed in on that device just like on the web.

The portal runs in the app exactly as it does on
my.festinato.app, role-aware and festival-aware, plus a few phone-native touches:- Push notifications for the festival they're signed in to, so shift and schedule changes reach them.
- Add to calendar — schedule and shift
.icslinks open in the phone's calendar app. - An offline notice with cached content when connectivity drops (festival sites are not known for their signal).
Signing out from the app's portal clears the session on that device. The server-side logout invalidates the session everywhere, so the same "forget me" guarantee as the web applies.
Same portal, two front doors
The web portal at my.festinato.app and the in-app portal are the
same application and the same login. Whichever a person uses, the
pages, roles and data are identical — the app simply embeds it and
adds phone-native conveniences. Operators can hide the in-app entry
per tenant; see Configuration.
Artist pages¶
The richest of the three roles. Artists land on their venue info and work down the sidebar from there.

Pages appear only when there's something to show. Contracts and Documents are hidden until the organiser adds at least one; Travel & stay appears once a travel document is shared. Tasks and SUISA list are both off by default and only appear once the organiser switches them on (see Optional features) — Tasks additionally needs at least one to-do before it shows.
Volunteer (crew) pages¶
Volunteers see a focused set of pages built around the shifts they're assigned. Which pages show up depends on the jobs they're rostered for — a stage-crew volunteer and a box-office volunteer can see different sections.

Venue pages¶
Venue coordinators get an operational view of their stage or location, and are the only portal role that can edit the venue sheet.

One venue sheet, three views
The venue sheet is the same underlying document everywhere it appears, but it's audience-aware. Venue coordinators edit the doors, curfew and notes; artists and volunteers see it read-only, and artists see only the slots and changeovers that involve them.
Optional features¶
A few portal behaviours are off by default and switched on per festival in the back-office. When a feature is off, its pages and controls simply don't appear.

Languages¶
The portal is available in German, French and English, and follows the language each person chooses — independently of the back-office. See Multi-language.
Operator dashboard¶
Festival operators can be granted a special portal admin role that
gives them a read-only dashboard at my.festinato.app/<slug>/admin
(or the equivalent URL on a custom domain). The dashboard is separate
from the back-office — it's for anyone who needs to see the portal from
a participant's perspective without a full back-office account.
To grant the role, add the person's email address to Festinato → Settings → Portal → Portal admin emails. The next time that address signs into the portal they land on the dashboard rather than the normal role home.
What the dashboard shows¶
The dashboard lists the current edition's full roster — artists, crew and venues — grouped by role, with avatars (or initials where no photo is on file). A search box filters the list by name.
"View as"¶
Next to every entry is an Open as button. Clicking it switches the portal to a preview of that person's session — the same pages, the same data, scoped to that artist, crew member or venue. A banner at the top of every page confirms who is being previewed and lets the operator return to the dashboard.
The preview is per-tab and per-browser-session: navigating to a different tab or signing out clears it. No action taken in the preview (for example, signing a document) is recorded against the real participant's record.
